Deposit and Other Payments

A non-refundable deposit is due soon after booking in order to reserve the client's wedding date. Afterwards, the remaining balance of the wedding package price is due the day of the wedding. Should the client decide to cancel, the deposit will be forfeited and no other fees will be charged. If it is necessary to reschedule the wedding to a different date, and notice of the change is made no less than 90 days prior to the original wedding date, the deposit will be applied to the new booking. Rescheduling within the 90 day period or for a date when we are not available is considered a cancellation.

For weddings outside the city of Medicine Hat, gas or mileage compensation will be charged at a rate agreed upon between the client and Woods Photography in addition to the package prices, and will also be due the day of the wedding.

Clients whose Destination Weddings are eligible for our complimentary wedding photography services are required to cover all cost related to the round-trip fare for travel, as well as transportation and accommodations for both photographers for a minimum of three days (excluding travel). Should additional fees, customs charges, or taxes be incurred, client agrees to reimburse Woods Photography for all additional costs. Woods Photography is not responsible for missed coverage due to factors such as flight delays or cancellations.


Delivery of Completed Photographs

Within a week following the wedding date, Woods Photography may post complimentary sneak peek images to Facebook or Instagram while the client waits for the rest of the images to be fully optimized. All of the images will be edited for exposure and white balance. Basic retouching will be applied to the Portrait Session images only. The number of images the client will receive is not limited. All of the best images will be supplied in both color and black & white on a USB within approximately 8-12 weeks. Woods Photography will notify the client when the photos are ready for delivery.


Location and Venue for Photography

The client is responsible for the reservation of ceremony/reception location or any facility for sufficient time and for the purpose of completing the photographic services. The client is required to inform Woods Photography of any and all locations where coverage is desired prior to the wedding date, if possible. The number of locations for the Formal Portrait Session is limited to the time permitted, or three separate locations. For those clients wanting outdoor photography, arrangements should be made to complete the photography coverage indoors in the event the weather conditions are prohibiting.


Desired Photographs

The client is required to provide a list of suggested photographs that they desire in advance.  While every attempt is made to accommodate the client’s desired list of photographs and create the best images possible, no particular image is guaranteed.  Woods Photography will be equipped to handle most low-light situations.  However, in situations where flash photography is prohibited or is deemed to be unsafe, the client agrees to accept the images as-is, given the technical limitations of low-light photography. Woods Photography is not responsible for photographs that are not captured due to late starts, missing family or wedding party members, extended times for ceremonies and/or receiving lines, as well as any other circumstances or conditions over which Woods Photography has no control. It is understood that Woods Photography is the exclusive official photographer to perform photographic services and the taking and/or selling of photographs by other professionals is prohibited. Although the taking of pictures by other non-professionals is not expressly restricted, client understands that the distractions and flash photography by others can result in delays, degraded picture quality, or subjects not looking directly at the appropriate photographer. Woods Photography cannot guarantee the successful results, quality, or number of images taken under those circumstances.


Copyright and Model Release

Woods Photography owns the copyright to all of the images and reserves the right to use them for display, publication, advertising or other purposes.  Upon receipt of final payment, the client is granted full right to use the images for their own non-commercial purposes, such as printing, email, exchange with friends and relatives, or display on the Internet.  No images will be provided to the client until full payment has been made. Woods Photography cannot be held responsible for the quality of photographs printed from the USB, as the quality varies greatly depending on the printing process and paper.


Limitations of Liabilities

The client agrees that Woods Photography shall not be liable for any personal injury, loss or damage to property caused by any act or omission of the photographer. If Woods Photography is unable to supply the client with photos due to circumstances beyond its immediate, direct and reasonable control, including digital defect, camera or flash malfunction, then Woods Photography will refund all funds paid including deposit. Woods Photography cannot be held accountable at any given time for funds greater than the total package price. In the event that Woods Photography is unable to fulfill obligations due to health or severe family emergencies, all attempts will be made to find a suitable replacement in our absence.
